How to Collect Sponsor Assets Without Chasing Emails

At CPHI Frankfurt, one of the largest pharmaceutical trade shows in the world, hundreds of sponsors submit logos, banners, and brand materials before the event opens. When I worked on the sponsor side, I saw firsthand what happens when that process is not organized. Files arrive too late, in the wrong format, or not at all. Designers are waiting. Print deadlines are slipping. And the event manager is stuck in the middle, writing the same follow-up email for the fourth time.

That experience is what led me to build SPONTOOL. But before we get into that, here is what most event organizers are getting wrong.

Why email breaks down

Email feels like the obvious choice because everyone has it and it requires no setup. But email was built for conversation, not file management.

Here is what actually happens when you run asset collection over email. Files arrive in the wrong format. Someone sends a JPEG when you need a PNG, or attaches a 72 DPI logo and calls it high-res. Nothing is centralized, so finding the latest version of a specific file means digging through dozens of threads. Every reminder is a new email you write from scratch. And because there is no formal structure, sponsors treat your deadline as a suggestion.

The result is hours of work that could have taken minutes, and a last-minute scramble before every event.

What the process should look like

The fix is straightforward. You replace a conversation tool with a workflow built for collecting files.

Each sponsor gets a personal upload page with a unique link. They open it, see exactly what files you need and in what format, and upload directly. No email thread. No confusion about which version is final.

Before any sponsor uploads anything, you set the rules: file type, dimensions, maximum size. If a file does not meet your specs, the system rejects it and tells the sponsor what to fix. You stop receiving unusable files.

Reminders run automatically on a schedule you set. When a sponsor has not submitted, they get a nudge. Then another. You are not tracking who is missing or writing follow-up emails.

When everything is in, you download one ZIP file, organized by sponsor and ready to hand off to your designer or print team.

The mistake most event organizers make

Even teams that move to a better system often set it up too late. The best time to start collecting assets is the moment your sponsor list is confirmed, not the week before the event.

Give sponsors at least three to four weeks to submit. This gives you time to handle resubmissions, review everything properly, and still meet your production deadline without pressure.

What to include in each upload category

For each file type you need, be specific about what you are asking for. Include the accepted file formats, minimum dimensions, maximum file size, and where the asset will be used. The clearer you are upfront, the fewer corrections you will need to make later.

For example: logo required as PNG or SVG, minimum 1000 pixels wide, used for printed signage, pull-up banners, and digital screens.
